Job Summary
The Operations Manager is responsible for overseeing the overall operational, administrative, and strategic functions of the clinic and day surgical center in Dubai. The role ensures smooth daily operations, effective physician scheduling, optimal patient flow, high-quality patient care, and full regulatory compliance with the Dubai Health Authority (DHA) standards and UAE healthcare regulations.
The Operations Manager plays a critical leadership role in coordinating between doctors, nursing staff, administrative teams, insurance providers, and patients to maintain operational efficiency and exceptional patient experience.
Key Responsibilities
1. Operational Management
- Oversee day-to-day operations of outpatient clinics and day surgery units.
- Ensure seamless coordination between reception, nursing, physicians, and operating theatre.
- Monitor clinic workflow, waiting times, and service efficiency.
- Develop and implement operational policies, SOPs, and service standards.
- Ensure optimal utilization of consultation rooms, procedure rooms, and operating theatres.
2. Physician Scheduling & Clinic Availability Management
- Prepare and manage doctors’ monthly and weekly clinic schedules.
- Coordinate physician availability, leave planning, and on-call rotations.
- Ensure optimal distribution of clinic sessions and surgical lists.
- Monitor appointment templates maximize efficiency and reduce patient waiting time.
- Coordinate with medical staff to manage overbookings, urgent cases, and cancellations.
- Align doctor schedules with patient demand, insurance requirements, and facility capacity.
- Maintain updated physician licensing and DHA compliance documentation.
3. Patient Care & Service Excellence
- Ensure high standards of patient care and service delivery across all departments.
- Monitor patient journey from appointment booking through consultation, surgery (if applicable), and discharge.
- Oversee implementation of patient safety protocols and infection control measures.
- Address and resolve patient complaints promptly and professionally.
- Implement patient satisfaction improvement initiatives.
- Monitor post-procedure follow-up processes and patient communication standards.
4. Regulatory Compliance & Quality Assurance
- Ensure full compliance with DHA regulations and inspection standards.
- Maintain readiness for audits and regulatory reviews.
- Oversee adherence to clinical governance, infection control, and health & safety standards.
- Implement quality improvement initiatives and track KPIs.
5. Financial & Revenue Cycle Management
- Monitor clinic performance, revenue, and operational costs.
- Oversee billing processes, insurance approvals, and claims submission.
- Work closely with the finance team to reduce claim rejections and improve collections.
- Analyze operational KPIs to improve profitability and efficiency.
- Support strategic planning for service expansion and revenue growth.
6. Team Leadership & Human Resource Coordination
- Supervise administrative, reception, and support staff.
- Assist in recruitment, onboarding, and performance management.
- Develop duty rosters ensuring adequate staffing coverage.
- Foster a collaborative work environment between clinical and non-clinical teams.
- Conduct regular team meetings to improve communication and performance.
7. Facility & Vendor Management
- Oversee maintenance of medical equipment and facility infrastructure.
- Ensure availability of surgical and medical supplies.
- Manage vendor relationships and service contracts.
- Monitor inventory levels and procurement processes.

Qualifications & Requirements
- Bachelor’s degree in healthcare administration, Hospital Management, Business Administration, or related field (master’s preferred).
- Minimum 5–8 years of healthcare operations experience in Dubai / UAE.
- Strong knowledge of DHA regulations and UAE healthcare compliance standards.
- Experience in physician scheduling and clinic capacity management.
- Strong understanding of insurance processes and revenue cycle management.
- Proven leadership and people management skills.
- Excellent organizational and communication abilities.
- Proficiency in healthcare information systems and MS Office.

Pay: AED8,000.00 - AED12,000.00 per month
