Operations Executive _Clinic Management

We are seeking an experienced Operations Executive who can independently manage and support day-to-day clinic operations, patient flow, staff coordination, and administrative activities. The ideal candidate must have hands-on experience in healthcare operations and a strong understanding of UAE clinical workflows, DOH/DHA standards, and patient experience management.

Key Responsibilities Daily Clinic Operations

  • Oversee smooth functioning of daily clinic activities across all departments.
  • Manage patient flow, appointment scheduling, and ensure minimal waiting time.
  • Coordinate between reception, nursing, doctors, insurance, and support teams.
  • Ensure readiness of consultation rooms, equipment, and operational supplies.

Patient Experience and Service Quality

  • Handle patient complaints, feedback, and service recovery professionally.
  • Ensure high-quality customer service and staff adherence to service standards.
  • Monitor front-desk interactions and support training where required.

Staff Coordination

  • Prepare and manage staff duty rosters and attendance.
  • Assist in staff onboarding, training, and performance monitoring.
  • Ensure all departments follow operational SOPs and daily checklists.

Compliance and Standards

  • Ensure compliance with DOH/DHA policies, healthcare regulations, and safety protocols.
  • Maintain documentation, licenses, audits, and regulatory requirements.
  • Conduct regular checks on hygiene, infection control, and facility standards.

Financial and Administrative Support

  • Assist with daily revenue reports, insurance coordination, and billing oversight.
  • Monitor consumables, stock levels, and coordinate with procurement for replenishment.
  • Verify LPOs, service contracts, and maintenance schedules.

Operations Reporting

  • Prepare daily, weekly, and monthly operational reports for management.
  • Track KPIs such as patient footfall, revenue, waiting time, and staff performance.
  • Identify operational gaps and recommend process improvements.

Requirements

  • Minimum 2–4 years of experience in clinic or healthcare operations in the UAE.
  • Strong knowledge of patient flow, insurance processes, and regulatory standards.
  • Excellent communication skills in English; Arabic is an advantage.
  • Ability to manage staff, multitask, and work in a fast-paced healthcare environment.
  • Proficiency in MS Office and EMR/Clinic Management Software.
  • Strong problem-solving and decision-making skills.

Preferred Skills

  • Experience in DOH/DHA licensed facilities.
  • Knowledge of patient grievance handling and service quality improvement.
  • Strong leadership and coordination abilities.
  • Ability to handle pressure and operational challenges independently.

Job Type: Full-time

Pay: AED5,000.00 - AED6,500.00 per month
