Key Responsibilities And Duties

  • Serves as Duty Manager of the Inpatient & Outpatient Services Departments. Supervises, coordinates and monitors the health care provided in the departments to promote efficient and effective delivery of quality health care.
  • Compliance in daily report in writing to the management / officers and daily phone report to the CEO personally or his designee.
  • Ensures daily reporting of operational notes including census and codes, admission in critical areas, and any other issues requested by the CEO or his designee, including security and safety guidelines, ethical guidelines, and delays in maintenance (within the Fakeeh Health Care facility premises and to / from external facilities).
  • Provides direction and control over all inpatients & Outpatient departments/units activities during assigned period.
  • Communicates with company’s approval office regarding any insurance patient or finance for cash issues.
  • Communicates with other healthcare facilities for transfer patients from / to Fakeeh Health Care facility and coordinating with EMS regarding the transportation process.
  • Takes immediate actions with lifesaving cases admitted in ER after medical justification from the treatment physician.
  • Coordinates with the security department to report traffic accidents brought to the Fakeeh Health Care facility, suspicious patient conditions, and confirmed suicide attempts to MOI.
  • Aligns with Medical Chairpersons, Medical Staff of Inpatient Services, and other staff to coordinate healthcare delivery and implement Fakeeh Care policies and procedures as needed.
  • Maintains frequent contact with patients and their families to solve problems and assure their satisfaction in coordination with the patient experience department.
  • Externally, maintains contact with companies and outside doctors dealing with the Fakeeh Health Care facility, local authorities as assigned and needed (MOH, insurance companies).
  • Ensures the implementation of all Fakeeh Care policies and procedures during the assigned period.
  • Conducts rounds in all outpatients (clinics & ER) and inpatients wards to ensure Fakeeh healthcare providers are meeting patients’ needs, solving their problems and enforcing Fakeeh Care policies, including visiting hours, infection control guidelines, and patient transport.
  • Assists with any delays in referrals for inpatients across various specialties (internal medicine, psychiatry, general surgery, neurosurgery, orthopedic, open-heart surgery, ophthalmology, ENT, urology, oncology, etc.).
  • Observes the work activities of the staff and ensure scheduling of the staff (physicians, nursing, allied health, admins) meets work requirements.
  • Supervises the work in the inpatient department, ensuring adherence to the bylaws, rules, and regulations of Fakeeh Care while maintaining awareness of established accreditation standards.
  • Reviews availability and have the authority to allocate beds for patients according to waiting lists for admission and room transfer needs.
  • Attending Emergency cases discharged against medical advice & indefinite the reason of Dama in 15 minutes of notification managed by Social Workers.
  • Communicates with local authorities (MOH, Infectious Disease Office…) for related issues and reports as needed.
  • Duty Manager has the authority to accept referral from other facilities.
  • Covers the duties of the morgue officer in case of unavailability (night shift or absence) and perform their duties according to MOH and Fakeeh Care policies.
  • Duties related to Senior Duty Managers:
  • Responsible for planning, organizing, directing, and controlling the major functions of the department.
  • Maintains frequent contact with the QRM department for review and analysis of collected data on Occurrence Variance Reports (OVR), Clinical Pathways, Satisfaction Surveys and other related topics.
  • Maintains 24/7 coverage to address operational issues, support hospital functions, and respond to emergencies at any time.
  • Performs any additional tasks as requested within the scope of the job.

Requirements Skills And Abilities

  • Must be clearly able to communicate with patients and their families, physicians and non-medical staff.
  • Should possess good organizational skills and be able to work in high stress situations.

Experience

  • Minimum of 1 year of administrative experience in administrative activities for MBBS.
  • 5 years of experience in managerial / supervisory role for non-physicians.

Education : Bachelor’s degree in medicine / Non physicians with health care management qualifications / Healthcare worker (Allied Health, Nurse) with administration experience.

Language : Excellent command of both oral and written English & Arabic

Licenses / Certifications : License as per the regional health authority for Senior Duty Managers
