Job Description
To support end-to-end physician onboarding and ongoing operational administration by coordinating screening logistics, candidate communications, interviews, induction/training, and core compliance workflows (licensing, credentialing, privileges), while ensuring timely digital access setup and reliable day-to-day support to clinic operations including clinic capacity maintenance and compliance.
Candidate Pipeline, Screening & Interview Coordination
Review applications and required documents for completeness against screening checklists.
Maintain an accurate candidate pipeline tracker (status, stage, missing items, next actions).
Support shortlisting by organizing candidate packs and flagging gaps/risks to stakeholders.
Coordinate interview scheduling end-to-end (availability collection, invites, reminders, links/rooms).
Prepare and share interview materials, and track feedback submission and outcomes.
Monitor reschedules/cancellations and proactively resolve scheduling conflicts.
Candidate Communication & Stakeholder Coordination
Serve as the primary admin point of contact for candidates through official channels.
Send clear updates, next steps, and document requests with timelines and instructions.
Log communications and maintain a record of candidate inquiries and resolutions.
Coordinate internal stakeholders on dependencies (approvals, decision timelines, missing inputs).
Induction, Onboarding & Training Administration
Maintain and publish induction materials on the platform (correct versions, access, instructions).
Track induction and assessment completion; follow up on overdue items.
Coordinate onboarding events and logistics (HIS/EHR training, mock cases, shadowing, buddy assignment).
Provide administrative guidance to new joiners during onboarding and resolve routine issues.
Compliance Workflows: Licensing, Credentialing & Clinical Privileges
Collect, verify, and organize required documents for licensing/credentialing.
Support submission processes and track status; follow up with relevant teams.
Coordinate privilege requests/updates aligned to classification and scope.
Maintain renewal trackers and prompt timely renewals/updates.
Digital Readiness & Access Provisioning
Request and track provisioning for all required systems.
Coordinate with IT/support teams to unblock delays and confirm access is functional.
Maintain a standardized “digital readiness checklist” per physician.
Clinic Schedule, Capacity Maintenance & Administrative Support
Maintain provider schedules and capacity plans; ensure updates reflect current staffing, privileges, and availability.
Coordinate changes (leave, rescheduling, coverage needs) and communicate updates to relevant stakeholders.
Support clinic operations with day-to-day administrative requests from physicians end-to-end (triage, routing, closure).
Track attendance/performance inputs as required; coordinate OVR/escalations with the reporting team where applicable.
Maintain an operational log of requests, blockers, resolutions, and recurring issues.
Skills
0-2 Year
Skill in coordination, tracking and communication with multiple stakeholders.
Familiarity with healthcare provision operations.
Proficiency in healthcare information systems and documentation tools.
Clear verbal and written communication skills.
Professional spreadsheet skills.
Ability to manage multiple tasks simultaneously with attention to detail.
Bachelor’s degree in healthcare administration, healthcare field with experience in healthcare provision.
Customer service orientation with professional communication standards.
Experience in clinic operations and coordination, healthcare administration or HR operations in healthcare provision settings.
