Job Purpose

The Warehouse Manager oversees all warehousing activities for pharmaceuticals and medical devices, ensuring full compliance with regulatory standards such as UAE MOH, DHA/DOH guidelines, GDP (Good Distribution Practice), and cold-chain requirements.

The role ensures accurate inventory control, safe storage, product integrity, and timely order fulfillment while leading a high-performing warehouse team.

Key Responsibilities

1. Warehouse Operations

  • Manage end-to-end warehousing processes including receiving, quarantine, inspection, storage, picking, packing, and dispatch.
  • Ensure handling and storage of products according to GDP standards .
  • Oversee cold-chain operations including temperature-controlled storage, monitoring, and documentation.
  • Ensure proper segregation of narcotics, controlled drugs, medical devices, and returned goods.
  • Maintain warehouse layout ensuring traceability and efficient stock flow.

2. Inventory Control

  • Maintain accurate inventory records using WMS/ERP systems (SAP, Oracle, Odoo).
  • Conduct routine cycle counts, monthly physical inventory, and reconciliation.
  • Investigate discrepancies and implement corrective actions.
  • Ensure controlled-drugs inventory is managed according to UAE regulations with full traceability and documentation.

3. Compliance & Quality Assurance

  • Ensure full adherence to GDP, GMP, MOHAP, DOH, and DHA requirements.
  • Maintain calibration and preventive maintenance schedules for equipment including cold rooms, freezers, and temperature sensors.
  • Ensure all temperature monitoring devices are validated and alarmed.
  • Manage documentation for audits, inspections, and quality reviews.

4. Safety & Risk Management

  • Enforce warehouse safety procedures in alignment with HSE guidelines.
  • Implement risk mitigation plans for cold-chain failure, product damage, or contamination.
  • Manage waste disposal for expired or damaged medical products according to regulatory standards.

5. Team Leadership

  • Lead and supervise warehouse supervisors, pickers, forklift operators, and dispatch staff.
  • Conduct training on GDP, product handling, and safety procedures.
  • Monitor performance and maintain clear KPIs for productivity and accuracy.

6. Reporting & Continuous Improvement

  • Prepare weekly and monthly reports on inventory levels, deviations, temperature excursions, and dispatch performance.
  • Conduct root-cause analysis for variances or quality deviations.
  • Drive continuous improvement initiatives to enhance storage capacity, reduce costs, and optimize fulfilment processes.

Qualifications & Experience

  • Bachelor’s degree in Logistics, Supply Chain, Pharmacy, or related field.
  • 8 to 12 years of warehouse experience, preferably in pharmaceutical or medical device distribution .
  • Strong knowledge of GDP, controlled-drug handling, temperature-controlled logistics , and traceability systems.
  • Experience with WMS/ERP systems such as SAP, Oracle, or Odoo.
  • Strong understanding of UAE healthcare regulatory requirements.
