Clinical Education & Aesthetic Training Academy Coordinator

bout the Role

We are launching a premium Aesthetic Medicine Training Academy in Dubai and are looking for an experienced Clinical Education & Aesthetic Training Academy Coordinator to oversee the day-to-day operations of the academy.

The ideal candidate must have previous experience working in an aesthetic training academy, medical training institute, or healthcare education center. This role requires someone who is highly organized, customer-focused, and capable of managing student enrolments, coordinating training programs, supporting faculty, and driving course registrations.

Key Responsibilities

• Coordinate and manage the complete student enrolment process from enquiry to course completion.
• Handle student enquiries through phone, email, WhatsApp, and walk-ins.
• Generate leads, conduct cold calls, and convert enquiries into course bookings.
• Plan and coordinate training schedules, classrooms, faculty, and practical sessions.
• Coordinate with trainers, doctors, and guest faculty to ensure smooth course delivery.
• Maintain student attendance, training records, certificates, and academy documentation.
• Prepare training materials, welcome kits, and coordinate consumables for practical sessions.
• Liaise with marketing regarding upcoming courses, promotions, and events.
• Coordinate with product suppliers for training kits and inventory management.
• Support accreditation, compliance, and regulatory documentation as required.
• Act as the first point of contact for students, trainers, and academy partners.
• Ensure an excellent learning experience and maintain high service standards.
• Prepare weekly and monthly enrolment and operational reports.
• Assist in organizing workshops, seminars, live demonstrations, and academy events.

Requirements

• Minimum 2–5 years of experience in an Aesthetic Training Academy, Medical Training Institute, Beauty Academy, or Healthcare Education Centre (Mandatory).
• Previous experience coordinating aesthetic, cosmetic, dermatology, laser, or medical education programs is highly preferred.
• Strong sales and lead conversion experience with the ability to achieve enrolment targets.
• Excellent communication and interpersonal skills.
• Experience handling student administration and training coordination.
• Strong organizational and multitasking abilities.
• Proficient in Microsoft Office (Excel, Word, Outlook) and CRM/LMS systems.
• Ability to work independently in a fast-paced environment.
• Fluent English is mandatory; Arabic is an advantage.
